What we do The whole of it

Nothing waits on somebody remembering.

Every enquiry and every customer in one place. A missed call gets a text back before the caller has tried the next name on the list. Messages get answered and followed up. Appointments and next steps happen whether or not anyone thought of them. And you can see what is waiting and what happened without ringing round to find out.

Find out what it's costing you Ten questions, about two minutes. No email needed to see your result.
Or ring 07401 200177 and ask it yourself.
One door Every way in, one place out

Every way in. One place it all ends up.

Not another inbox to check. The channels people already use to reach you all arrive in the same record, and the reply goes out before you have looked at anything.

£297 The two plans

Cobalt starts here, because the phone is where work disappears fastest.

Cobalt Core is the whole system. The £497 plan is Core plus Sitebooks. Nothing further down this page is in a plan unless it is named here. The rest is quoted separately for a one-off fee, and only if it will save you time or make you money.

Cobalt Core, the complete system

Never miss an enquiry

£297a month

A connected customer system that catches enquiries instead of merely storing them, and a front door that keeps working while you are busy. Your existing website connected, up to two enquiry forms replaced, the customer and opportunity created automatically, an immediate acknowledgement sent and one UK number on missed-call text response. Then a receptionist answers approved questions, collects and qualifies the caller's details, books appointments and hands over when a person is needed.

  • Every enquiry in one record, with a pipeline and one calendar
  • A standard seven-day sequence follows up new leads
  • All of it on a phone app, so you can see it on site
  • 100 receptionist minutes included each month
  • Standard setup included, three-month minimum, then monthly

Cobalt + Sitebooks

Run the job from your phone

£497a month

Everything in Cobalt Core, plus 200 receptionist minutes and Sitebooks, our quoting and job-administration assistant. Send voice notes and photographs from Telegram and it drafts a detailed branded quotation, then invoices, receipts, variations, job diary and snagging as the job runs.

  • It drafts, you check, nothing is sent to the customer automatically
  • Standard setup included, three-month minimum, then monthly

All prices exclude VAT. VAT is charged where applicable. The complete comparison is on the pricing page.

Before you ask The honest limits

What the website assistant will not do.

It will not quote a price it has not been given, and it will not promise a date it cannot see. When it does not know, it says so and offers to put you two in touch, which is the behaviour you want from anyone answering your phone.

There is one on the front page of this site. It is the same thing we would build for you, answering questions about us instead of about you, sitting on top of the customer system and the phone and text follow-up that do the rest of the work. Push at it and watch what it does when you ask something awkward.

Separately quoted Beyond the two plans

Other work we can take off your desk.

This is work beyond what the two plans already cover. Each piece is scoped and quoted separately for a one-off fee, after we have watched a week of how your work actually moves. You will probably need two or three of these. Nobody needs all of them.

01

Enquiries and sales

  • Bringing back old customers and past enquiries. The people who bought two years ago, and the ones who asked for a quote and went quiet. Only where the law allows it: before anything goes out we check there is a proper basis for contacting them.
  • Websites and landing pages. If your website needs replacing, a focused enquiry page or a complete site, built to bring enquiries in rather than win design awards.
02

Customer communication

  • Automatic email follow-up. The email that should go out after a quote, after a finished job, after a month of silence. Written once, sent when it is due, and stopped the moment the person replies.
  • Reminders beyond the calendar's own. Appointment confirmations and reminders come with the calendar in every plan. These are the extra ones: the message that says the van is on its way, the invoice nudge, the ones you send forty times a month, sent without you typing them.
03

Contracts and paperwork

  • Contracts and approvals. The agreement sent the moment a quote is accepted, signed on a phone, filed against the job.
04

Joining things up

  • Connecting the tools you already use. Your diary, your accounts package, your email, your phone. Joined up so a customer's details get typed once and turn up everywhere they are needed.
  • The other jobs that only happen because you remembered. If it repeats, it can usually be made to happen on its own.

We would rather look at what you actually do in a week than sell you a list, because the job that matters most is never the one on the list.

Bespoke work Beyond the two plans

Five steps, and the first one is a day of listening.

This is how bespoke work beyond a plan starts. Taking a plan instead? Setup is included and short. For bespoke work we do not arrive with a diagram. We watch how the work actually moves through your week, which is never how anybody describes it.

01

Understand

A day learning how your business actually runs, not how it is supposed to.

02

Simplify

Find where things get stuck, dropped or done twice, and take those out first.

03

Automate

Build the parts that repeat, so they happen whether or not anybody remembers.

04

Integrate

Connect what you already use, so nothing gets typed in twice.

05

Improve

Watch it run for real and keep tightening it. Nothing is finished on the day it goes live.

If it doesn't save you time or make you money, we won't build it.

A fair bit of what gets asked for on a first call is a tidier version of a job that should not be happening at all. Automating that just makes it happen faster and more often, and it is still on your desk at the end of the month.

So the first pass is usually subtraction. What can stop, what can be answered once instead of forty times, what is being typed in twice. Whatever is left after that is worth building, and it is normally smaller than anyone expects.

Your business data remains yours. If we build something bespoke, we will explain what can be exported, transferred or retained before you agree. And if the audit says the honest answer is a cheaper piece of software and an afternoon of your own time, you will get told that.

Start with the smallest thing that pays.

Book the audit and we will go through where enquiries are actually going at the moment. Forty-five minutes, free, no pitch. At the end you will get told what is worth doing and what is not, and you are welcome to take that away and build it yourself.
